Summer employees are at-will and occupy a position expected to perform work only between May and August. They may also be current students of the University. If the position requires work outside the months of May through August, contact HR to see if an alternative position is appropriate. 

Ready to hire a summer staff or University student for the 2025 summer season?

Please complete one of the following forms: 

Hiring a summer student employee:

  • Students eligible for summer hiring include those currently enrolled at the university as undergraduate or seminary students, as well as incoming students for Fall 2025.

Types of summer positions:

University Student Summer Employee:

  • Students eligible for summer hiring include those currently enrolled at the university as undergraduate or seminary students, as well as incoming students for the fall of 2025.

  • Students who have graduated from the University on May 11, 2025, will be classified as non-student (staff) hires.

Non-University Student Summer Staff:

  • This is not a current student enrolled in the college or the SoT and includes recent graduates.

HR does not have an employee seasonal pool.

Hiring Summer employees:

Pay Rates for Summer Positions:

  • University Summer rates for summer student employees start at $8.50.
  • The university minimum wage for summer staff is $15.00

  • Should you have two employees, staff, and a student, working in the same position, you may want to consider, if your budget allows, paying them the same rate. 

  • If a staff position is eligible to earn a salary, the salary must meet a minimum of  $684/week.

How do I post a summer student job?

To post a summer student job, start by creating a job description outlining the role and responsibilities. Once the job description is ready, Post a job opportunity here!

Receiving Applicants:

  • After the deadline, a PDF bundle of applications will be sent via email for review.

Pre-Employment requirements:

Prescreening:

  • The university partners with Data Screening to complete all prescreening requirements.
  • Any prescreening requirements required for a hiring request will be charged to the program budget specified under "Budget Org Number" completed in the form request.

  • All staff hires who have not worked for the university within six months before their start date will be required to complete all prescreening requirements, regardless of the position they will hold.

  • Current university students are typically not required to be sent through prescreening. With the exception of programs that fall under the Protection of Minors (see below) training. In this case, a student is only subjected to background screening. 

  • We cannot request background screens for anyone under the age of 18.

  • If a staff member is under the age of 18 and needs a drug screen, then a parent must accompany that minor. 

  • University students are never drug screened.

Protection of Minors (POM):

  • Chris Smith in Risk Management manages the Protection of Minors policy

  • It is the program director/manager's responsibility to know if their program or position falls within the requirements of POM. 

  • Background screening is always required for POM. 

  • Drug screening is required IF the employee is alone, unsupervised, or overnight stays with minors.

  • We do not drug screen University students; however, we will complete a background screening for POM requirements.

Onboarding for all summer employees:

All summer employees will be required to complete the following new hire forms with the Office of Human Resources prior to or on their start date:

  • W4
  • Direct Deposit
  • Form I9- Sent to the employee via email from a third-party provider, I9 Complete.
    • Section 2 of Form I-9 must be completed in person in the HR office with required documentation per U.S. Citizenship and Immigration Services.
International Summer Students:

International students in F-1 and J-1 status are eligible to work during the summer, provided they meet visa regulations. Before beginning employment, they must complete necessary tax documentation through Glacier, which helps determine their W-4 and overall tax status. Unlike during the academic year, there is no limit on the number of hours they can work per week in the summer, allowing for greater flexibility in their employment opportunities.

How do I get paid?
  • Ensure we have the correct direct deposit information.
  • You have turned in your approved timesheet.
  • Have an address on file in HR for any checks that need to be sent by mail.
  • If you are not submitting time in Banner, please use a printed timesheet.
  • If you are not submitting a paper timesheet, please enter your time in Banner.

FAQs:
  • How is overtime calculated?

    • Overtime is calculated on hours worked over 40 in a workweek and is paid at a rate of time and a half; if an employee works multiple jobs in the summer and their combined hours exceed 40 in a workweek, overtime will be distributed proportionately to the positions’ budgets.
  • How do I know if a student is cleared to work?

    • You can ask the student directly if they have completed all of HR's onboarding requirements. 
    • You can verify if a student is authorized to work at the university by using the secure student directory!  
  • Where should all new employees go to complete their new hire forms?

    • All new hires should complete their forms through Dynamic Forms, links provided by HR.
    • New hires should also complete the second page of the Form I-9 in person in the HR office.
  • Is summer hiring a separate process, even for those who worked during the academic year or in the same position?

    • Yes. All summer employees must be hired for each summer season. 
  • Can you tell me what I can pay a summer employee based on my budget?

    • HR does not track budgets.
    • HR cannot tell you when you are approaching your budget limitations
