Summer Information for Program Participants

Room/Stay Information:

NOTE: The following items are liable to cause plumbing damage and must be disposed of in trash receptacles and must not, under any circumstances, be flushed down any drain.

Abandoned Belongings

Please make sure to take all of your belongings with you when you leave the facilities.

The residence halls are constantly in use over the summer and lost or left items are the responsibility of the owner. With over 2,500 guests each summer, we are not responsible for the recovery and storing of items left behind.

Accidents and Injuries

If a participant has an accident that requires medical attention, or which might potentially require it later, please contact conferences@sewanee.edu so that we can file an accident report.  

Alarms and Smoke Detectors

In the event an alarm or smoke detector is going off, Sewanee Police and Fire Department have the authority to enter any university housing establishment. They are required to inspect the area to verify safety for everyone. Facilities Management may follow up if there is malfunctioning equipment.

Area Coordinators and Chaplains in Residence 

The following residence halls have area coordinators or chaplains in residence. These are year-round professionals in the Residential Life Office and the apartments are their homes. They have access to all public areas. Some have families and pets. Please be mindful of their privacy and be thoughtful about scheduling group events near their living quarters.

  • Ayres Hall—main floor near the front entrance

  • Humphreys Hall—main floor just off the common room

  • Hodgson Hall—main floor near the entrance

  • Quintard Hall—main floor

  • St. Luke’s Hall—on the left just inside the main entrance

  • Smith Hall—main floor on the South Carolina Avenue side

  • Trezevant Hall—on the left as you enter from the parking lot

Bedding/Closets

All of the mattresses on campus are twin-sized XL and have vinyl coverings. Many guests like to bring mattress pads. The rooms do not have coat hangers.

Cleaning Schedule

Hall baths are cleaned daily Monday–Friday; private baths are cleaned once a week.

Fire Policy

  • Open fires are strictly forbidden on the Domain without permission from the Sewanee Police Department.

  • Candles, incense, and wax warmers are not allowed in residence halls or University Buildings. When lit they are very likely to set off the fire alarm and the building will have to be vacated until the fire department determines it is safe to return.

Fireworks

Fireworks may not be used on campus.

Fire Emergency Procedures

  1. Report the information immediately. Pull the fire alarm or call 911.

  2. Warn everyone and evacuate the building immediately.

  3. Count heads. Verify that everyone is out of the building. DO NOT re-enter buildings.

  4. Stay clear. Get at least 500 feet away from the building.

  5. Stay in a safe area and remain out of the building until the building is declared safe by the proper authorities.

  6. Keep access roads open. SPD will ensure that key access roads are open for emergency vehicles.

  7. If you or your clothes are on fire, STOP, DROP, AND ROLL wherever you are.

Washers and Dryer Malfunctions

Unplug the machine, plug it back in. Most of the time this solves the problem.

Vacuum cleaners and plungers are left in the laundry room of each residence hall. Please return them soon if you use them.

Sewanee’s Climate Action Plan

Sewanee has an ambitious vision for what it means to be a sustainable college campus in the 21st century. Students, faculty, and staff work together to make sustainability a way of life.

Please help us by being attentive with ways to conserve energy. For instance, close the blinds when you  leave your room on a warm day and turn off lights when you leave a room.

Rural Setting--Indoors

Pests and critters are part of life in Sewanee. Most offices and homes have mice at least occasionally. Daddy long-leg spiders are harmless and there are lots of them. Beetles, roaches, ants, and crickets live on the mountain and are known to find their way inside. Please contact your program director with the location and type of your pest issue and they will contact Conference Services. Cook’s Pest Control will address the issue; they do regular maintenance on all buildings and come once a week on Wednesday.  

Rural Setting-Outdoors

Remind your participants that we are in a rural setting, and it’s a great idea to bring bug spray and apply it before going outside each day. If they walk across or sit on the grass, chances are good that they will get ticks or chiggers. If they wake up with bites, this often results in reports of bedbugs by the uninitiated. We recommend showing participants pictures of poison ivy. Many don’t know what it looks like and there is a lot of it on campus. Not all are allergic, but it’s best  stay away if unsure. Follow the old adage: “Leaves of three, let them be.”

The network is named Sewanee Guest and works throughout campus. Guests will be asked to enter their names.

Campus Safety

Sewanee’s LiveSafe App

LiveSafe is a mobile-safety technology for the University’s community. It empowers students, University employees, and campus visitors to take charge of their own safety and to look out for those around them.

LiveSafe provides a 911 street address for campus buildings and residence halls. You can use this to share important information with your participants.

LiveSafe allows students, faculty, staff, and visitors to:

  • Share information—Users can submit reports for suspicious activity, harassment, a disturbance, or other issues, with pictures, video, or audio attachments. Reports can be submitted anonymously if the user chooses.

  • Have peace of mind with SafeWalk—Individuals invite others to “virtually escort” them and monitor their location on a real-time map. Simultaneously, SafeWalkers can chat with one another or call 911 if needed.

  • Summon emergency help—Safety officials can leverage location data in an emergency, allowing faster response times.

  • Access emergency information—Have fast and easy access to important campus support resources and emergency procedures, even when you are unable to connect to the Internet.
